Navigating ‘Undelivered’ or ‘Missing’ Evaluation Reports
We sometimes receive calls and emails from applicants concerned about undelivered or missing evaluation reports. While these issues are typically resolved, we understand how stressful this can be, especially for applicants facing important deadlines.
When an applicant has been informed that their institutional recipient hasn’t received their evaluation report but our system shows that the report was delivered, there can be a few reasons for this discrepancy. Let’s explore some of the likely scenarios—and how you can navigate them.
Typical Reasons for Missing Evaluations
Name Discrepancies
A frequent reason for “missing” evaluations is a mismatch between the applicant’s name on the WES application, which is the same as the name on the academic credential, and the name on the institutional recipient’s application, which often reflects the name the applicant currently uses.
What you can do:
Proactively provide your recipient with the following details:
- WES reference number
- Name on your WES application
- Date of birth
- Email address
This can help the recipient location your evaluation more efficiently.
Incorrect Recipient Selection
Applicants occasionally have their evaluation sent to the wrong office. Here are some example situations that we have seen:
- Selecting the international or admissions office (for undergraduate applications) instead of graduate admissions
- Sending evaluations to a specific program (for example, the school of engineering) instead of the centralized graduate admissions office
- Applying for a faculty position but sending the evaluation to the admissions office, which won’t have your employment application
What you can do:
- Log in to your WES account and confirm that the correct office was selected to receive your report.
- Once you’ve been notified that your report has been delivered, alert the office or program you selected as the recipient, or ask that its staff contact the WES Client Success team for assistance.
Issues with Centralized Application Services
For applicants using a Centralized Application Service (CAS), such as SOPHAS, PharmCAS, ADEA, or BusinessCAS, entering an accurate CAS ID is crucial. However, even with a correct CAS ID, issues can arise. For example, if your degree is not entered as an international credential in your CAS application, your evaluation won’t link to it and will appear as “Not Received” or “Unmatched.”
What you can do:
- Log in to your CAS account and review it carefully.
- If you find errors, contact the CAS customer service team for assistance. WES cannot access your CAS application.
What to Do If Your Recipient Says Your Evaluation Has Not Been Received
If your institutional recipient is still unable to locate your evaluation report or tells you the report has not been received, take the following steps:
- Confirm the recipient in your WES account: Log in to your WES account and make sure the recipient was added as a third-party recipient. Remember, personal copies can only be sent to your home address.
- Share delivery details with the recipient: Provide the recipient with information about where the evaluation was sent. Encourage the institution to contact our Client Success team directly if they still can’t locate your report.
- Order a duplicate copy: If the recipient wasn’t included in your initial WES application, you can order a duplicate copy in your WES account. Review the recipient’s website carefully to make sure you select the correct office. If you have any questions, you can always contact the recipient directly.
Using Your WES Evaluation in the Future
We hope these tips help you to quickly resolve any issues with an apparently missing or undelivered evaluation report. It’s important to note that your WES evaluation does not expire. Whether your evaluation was completed last week or a decade ago, you can always order another copy to further your education and career.
Make sure to keep your WES reference number in a convenient location along with your log in credentials. We also highly recommend keeping your contact information updated in your WES account as it changes. By staying organized and proactive, you can make the most of your WES evaluation.
